Walk into every client review prepared, with the follow-up already drafted

Financial advisors can use AI agents to prepare briefs before client reviews, turn meeting notes into follow-up emails, chase missing paperwork, and keep CRM records current. In Brainwrite, specialist bots draft this work from the email, calendar, and documents you grant them. The advisor makes every recommendation, and each message waits for approval before a client sees it.

Where the week goes

The work that eats your time.

Prep before each review

Annual and quarterly reviews need the last meeting's notes, open actions, and recent correspondence in one place. Gathering them can take longer than the meeting.

Follow-ups after meetings

Every meeting ends with actions and a summary email. Writing them up waits until the end of the week.

Paperwork that stalls

Signed forms, ID documents, and statements from other providers arrive late, and someone keeps a list of who still owes what.

CRM notes that lag

Meeting notes stay in a notebook or a transcript instead of the client record, so the next review starts from memory.

A brief before every client review

Connect your calendar and Outlook or Gmail. A weekday morning routine reads the day's meetings and prepares a one-page brief for each: who is attending, the last correspondence, and open actions from your notes. You add the advice.

Meeting prep

Every weekday at 7:30, look at my Google Calendar for meetings with people outside the company. For each, summarise our last email threads, the HubSpot deal stage, and anything I promised, and post the briefs to a thread called Meeting prep.

What the team takes on

Jobs your AI team does every week.

  • Meeting notes to follow-ups

Turn a Fireflies transcript or your own notes into a summary, a list of actions, and a follow-up email draft. The advisor checks every statement before it is sent.

  • Paperwork chasing

Keep a checklist in Google Sheets or Excel. A routine finds clients with missing documents and drafts a specific reminder for each, for you to approve.

  • CRM updates

Draft notes, tasks, and next steps in Salesforce or HubSpot from emails and meeting notes, for you to confirm before anything changes.

  • Enquiry follow-ups

Find prospective clients whose enquiry went quiet and draft a follow-up grounded in what they asked. Nothing sends automatically.

  • Newsletter drafts for review

Draft a client newsletter on topics you choose, for you and your compliance process to review before it goes out.

Why a team

Why this works better than a chatbot.

The advisor stays in the loop

In Ask mode, sending an email or changing a record becomes an approval card. Bots prepare; the advisor decides what a client receives.

Narrow app access

Give the meeting-prep bot calendar and email only. Each bot's grant is all tools, an exact list, or none, and imported bots start with none.

Memory you can read and delete

Bot memory is plain text you can view, edit, and delete per bot, so client details are not held in a hidden profile.

A record of what each bot did

The Inspector shows every tool call, and Export saves a conversation with secrets removed when you need to review what happened.

FAQ

Questions about Brainwrite for financial advisors

How can financial advisors use AI agents?

Use them for the preparation and admin around client relationships: review meeting briefs, follow-up emails after meetings, paperwork reminders, and CRM notes. Brainwrite runs bots on your Mac that draft this work from your calendar, email, and documents. The advisor reviews each draft, makes every recommendation, and approves messages before they reach a client.

Can a bot give investment advice to clients?

It should not. Bots in Brainwrite prepare drafts, summaries, and reminders for a qualified person to check. They can misread figures or rely on outdated information, and regulated advice belongs to the advisor. In Ask mode, sending an email is an approval card, so nothing reaches a client without someone reviewing it first.

Where does client financial data go?

Chats, files, and bot memory stay on your Mac. When a bot works, the text it needs is sent to the AI provider you chose for that bot and to the apps you connected. Brainwrite's account service sees your email and plan. For sensitive material, you can point a bot at a local model through OpenCode, Ollama, or LM Studio.

Does Brainwrite archive client communications for compliance?

No. Brainwrite is not a compliance archiving or supervision system. Messages you approve are sent through the email account you connected, not through a separate Brainwrite channel. Ask your compliance team how that mailbox is captured and supervised before you connect it to a bot.
