Turn a discovery call into a proposal draft the same day

To write client proposals with AI agents, give a Brainwrite bot your call notes, the client's emails, and two or three past proposals you were happy with. It copies your proposal template in Google Docs, writes the problem, scope, timeline, and approach in the client's own terms, and leaves pricing and terms for you. You edit, price, and send.

Client proposals

Draft a proposal for Meridian Print from Tuesday's call notes in my Notes folder and their email thread in Gmail. Copy my Proposal template in Google Docs and reuse wording from the Harbor and Lumen proposals. Leave pricing blank, list any scope questions, and do not email anyone.

The job

Doing it yourself, and handing it off.

Doing it yourself

The call went well and the client wants a proposal by Thursday. You open last month's proposal, save a copy, and start replacing the client name, then realise half the scope does not apply. The notes from the call are in three places. Writing it properly takes an evening, so it goes out late, or it goes out generic, and generic proposals lose to the competitor who echoed the client's words back.

What the team does

  • Copy your proposal template and fill each section from the call notes
  • Echo the client's own goals and wording from the emails
  • Reuse approved wording from past proposals for standard sections
  • List scope gaps and questions to settle before sending

What waits for you

  • Price, payment terms, and contract terms
  • What is in and out of scope
  • When the proposal is sent, and to whom

The reviewer compares the draft with the notes and lists gaps and risks.

  4. 04

    Price and send

You set the price and terms, edit the draft, and send it. Any email waits for your approval.

FAQ

Questions about Client proposals

Can an AI write a client proposal for me?

It can write a strong first draft from your call notes, the client's emails, and your best past proposals, in your template. It should not set your price or make promises you have not agreed to. You set pricing and terms, edit the draft, and send it.

Will it match how we usually write proposals?

Give it two or three proposals you were happy with, and save notes on tone and structure in the bot's memory. The Google Docs connector can copy a document to use as a template, so every draft starts from your real layout rather than a generic one.

Can it export a PDF and log it in the CRM?

Yes. The Google Docs connector can export a document as a PDF, and the HubSpot connector can create a note on a deal. Emailing the proposal goes through an approval card unless you have allowed sending.
